Airtable’s Advanced Tools: Grouping, Filtering, Views, and Automation for Elevated Efficiency

Now that you’re familiar with the basics of Airtable and how I use Airtable in my own business, let’s dig into some advanced features:

1. Airtable field types

In my previous post, I briefly introduced Airtable fields – the vital elements shaping your data organization. These fields define the type of information you want to track for each record in your table, giving your data a structured foundation. 2. Grouping, sorting & filtering of data

Airtable empowers you to effortlessly manage your data through a trifecta of powerful functions: grouping, sorting, and filtering.


With Airtable’s Group feature, you can categorize records based on one or more field types. For instance, in my blog post table, I’ve streamlined my records by grouping them according to their status. This feature enhances clarity and organization, ensuring a more intuitive data view.

Sorting your data is a seamless process in Airtable. Whether you need your records arranged alphabetically, numerically, or by specific criteria such as publish date, Airtable’s sorting functionality ensures your information is presented exactly as you desire. You can sort from A-Z, 1-9, first to last, or vice versa, tailoring the display to your preferences.

You can also hide data so that only certain people can see it



Airtable’s filtering capabilities allow you to focus on specific data sets that meet particular conditions. By setting rules within your views, you can hide the data you don’t need, offering a clutter-free and focused view. This dynamic approach enables you to concentrate on essential information, enhancing your productivity and decision-making.

For example, getting back to my blog table, I wanted a view that only showed me the articles I was currently working on, so I created a filter that would show me only those articles and nothing else.


3. Airtable Forms

Airtable Forms are tailor-made for seamlessly collecting information and integrating it directly into your base. Whether you’re logging expenses, polling colleagues, or gathering customer details, forms streamline the data input process. I leverage Airtable forms extensively, using them for tasks like collecting testimonials and client information, as well as client prep work.

4. Automations

Elevate your workflow with Airtable’s automation capabilities. Automation is the key to scaling your business without expanding your team exponentially. Airtable offers built-in automations and integrates seamlessly with Zapier for unlimited automation possibilities.

You can automate tasks based on various triggers, such as form submissions or record updates, and execute actions like sending emails, creating records, or even posting on social media.

Examples of our automation include automatically adding new leads to our database when they book an appointment and sending personalized thank-you emails with testimonial requests after VIP Day sessions.

5. Interface Designer
